Wihi instructions

4 Coordinator

A coordinator has been set for each degree programme and they have been set as Wihi coordinators in Peppi. In Wihi, coordinators act as both advisors and coordinators. Check your role in Wihi from the profile settings at the upper right corner of Wihi. You can change your role by dragging the mouse on the profile. As a coordinator, you can view and process topic proposals sent by students, add advisors and evaluators for thesis projects and monitor the progress of thesis projects in your degree programme.

The student prepares a topic proposal in Wihi, and the coordinator receives an email nudge of this (see the previous section: Settings). If the thesis is a group project, one of the students will prepare a topic proposal to Wihi and send it to other group members (students) for approval. After all members of the thesis group have approved the topic proposal, the coordinator can approve the proposal and set an advisor for the work. Note: If the thesis is a group project, each member will receive the same evaluation via Wihi (no separation is possible).

Approving the topic proposal
 

The coordinator may approve the topic proposal prepared by the student before designating advisors for the thesis project. Alternatively, the coordinator can go directly to section Adding advisors and evaluators in which case the topic proposal is approved automatically when an advisor is set for the work.

If the thesis is a group project, you can only approve the proposal after all group members have accepted their invitations.

1. Go from the top of Wihi to ‘Topic proposals’ to view the list of the topic proposals sent by the students. Use degree programme details to filter the list.

Note! At this stage, the project has a preliminary name, and it can be changed at a later stage.

When you select a programme on the ‘Degree programme’ menu, your selection is saved for ongoing and future sessions until you change it. The selection affects all pages (Active projects, theses waiting for registration, etc.).

2. On the Thesis title column, select the proposal you want to view.

3. Check the topic proposal at Thesis details and click Aprove toppic proposal to approve the proposal. If the topic proposal cannot be approved yet and the student should supplement/clarify the proposal, send a request for clarifications to the student using the Messages function of the Wihi topic proposal phase.

Adding advisors and evaluators
 

The advisors and evaluators are added by the coordinator. If you have not approved the proposal, adding advisors automatically changes its status into approved.

If the thesis project has more than one advisor, one of them must be selected as the principal evaluator. The checker (a language teacher) checks the language of the thesis. The advisors receive an email notification of a new topic proposal.

1. Go from the top of Wihi to Topic proposals to view the list of the topic proposals sent by the students. Use degree programme details to filter the list.

2. Select checkbox from student row (2a) click Add advisor/evaluator (2b). Set advisors and evaluators modal opens.

3. Select Add and enter an advisor’s name or part of the name in the search field. Select the advisor from the dropdown menu. Set the person’s role (advisor, assistant advisor, principal evaluator, evaluator) with the radio buttons and checkboxes. Select the principal evaluator from among the advisors.

4. Click Submit.

Advisor – principal advisor (can also be selected as the principal evaluator).

Assistant advisor – If the thesis has more than one advisor, the other advisors serve as assistant advisors. They have the same rights as the principal advisor but are not allowed to view the results of plagiarism checks.

Principal evaluator – Any of the advisors and evaluators can be selected as the principal evaluator. The principal evaluator is the last person to evaluate the work and should also take into account the observations made by the evaluator. The final grade of the thesis is calculated on the basis of the principal evaluator’s observations.

Evaluator – The persons selected as evaluators take part in the thesis evaluation process. Evaluators must produce evaluations of the thesis. If a person is only selected as an evaluator, he/she is entered as an evaluator for the project. The evaluators are allowed the view the files and the exchange of messages (from phase 3/3 onwards) but they can only take part in the evaluation process. Advisors or assistant advisors may also act as evaluators (unless they have already been set as principal evaluators).

Changing advisors and evaluators
 

The coordinator can change advisors and evaluators at different phases of the thesis project.

Adding students to the project and changing the right to study
 

In the Student area of the thesis project, the coordinator can

  • Add more than one student to the thesis project. Members of other thesis projects cannot be added.
  • Change a student’s right to study. By clicking Change study right, the coordinator can select all study rights of the students that are in effect. Changes in study rights are entered in the event log. You must contact the administrator before using this function.

Monitoring thesis projects and reporting view
 

The coordinators should from time to time go to Wihi to check the progress of the thesis projects in their own degree programmes.

The Last projects to advance section on the Wihi homepage shows the thesis projects that have not yet started or in which no progress has been recorded for weeks. The more time has passed since the last activity, the higher a thesis is on the list.

The icon in the Activity column changes as the project progresses.

In the Topic proposals view, the coordinator can browse through topic proposals by degree programme or in accordance with the status of the topic proposal. If there is more than one coordinator, the coordinator can find the topic proposals of his/her own degree programme by filtering the view on the basis of degree programme details. The coordinator can also prepare a topic proposal on behalf of the student.

In Active projects, the coordinator can browse through active thesis projects under way by degree programme or by type of training.

In Thesis waiting for registration, the coordinator can browse by degree programme through thesis projects for which the final evaluation has not yet been completed. In this view, a thesis project is shown after the advisor has completed the evaluation but has not yet approved the publication link of the thesis. Numerical evaluation will only move to Peppi after the advisor has approved the
publication link.

In the Report view, the coordinator can monitor the progress of thesis projects by degree programme. The ‘Report’ view shows the state of progress in thesis projects in different degree programmes. If you want to view all theses for which an advisor has been set, select the name of the degree programme and the advisor.

In the Project archive view, you can browse through archived thesis projects by degree programme.

In the Project search view, you can search for thesis projects by student name or student number The search spans approved topic proposals as well as active and archived projects. In this view, you can also search for draft projects.
